1. Controller

The controller responsible for data processing on this website is:

Maile IT, owner Tobias Maile

170 00 Prague 7, Czech Republic
Email: contact@maileit.com

2. Hosting & server log files

This website is a static website provided via the hosting provider Surge (sh.surge.sh, operated in the USA). When the pages are accessed, technically necessary data (in particular IP address, date and time of access, requested file, volume of data transferred, browser type and operating system) is processed by the browser in server log files. The legal basis is our legitimate interest in the secure and stable operation of the website (Art. 6(1)(f) GDPR). As the hosting provider is based in the USA, this may involve a transfer of personal data (in particular the IP address) to the USA; it is based on appropriate safeguards (EU Standard Contractual Clauses; see section 7).

3. Contact via the form

If you contact us via the contact form, we process the data you provide (name, email address, message) in order to handle your enquiry. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures) and Art. 6(1)(f) GDPR (interest in responding to your enquiry). The transmission and delivery of form messages is carried out via the service provider Formspree (see section 7).

4. Newsletter & free checklist

If you subscribe to our newsletter or request the free checklist, we process your email address in order to send you the requested content or the newsletter. The legal basis is your consent (Art. 6(1)(a) GDPR). You can withdraw this consent at any time with effect for the future, for example by message to the address stated above.

5. Appointment booking

We use the Cal.com service to book consultation appointments. When you book an appointment, the data required for this (e.g. name, email address, chosen time slot) is processed by the provider. The legal basis is Art. 6(1)(b) GDPR. The privacy provisions of Cal.com apply in addition.

6. Web analytics (reach measurement) with Pirsch Analytics

To statistically analyse the use of our website and to improve our offering, we use the privacy-friendly analytics service Pirsch Analytics. The provider is Emvi Software GmbH, Nickelstraße 1b, 33378 Rheda-Wiedenbrück, Germany.

Pirsch Analytics is completely cookie-free: it sets no cookies, stores or reads no information on your device, and performs no fingerprinting. To distinguish visits it uses only a non-reversible, daily-rotating hash generated from the IP address and browser data; your IP address is not stored. Only anonymised, aggregated metrics are collected (e.g. pages viewed, referrer/traffic source, approximate region of origin, device type).

Processing takes place exclusively on servers in Germany (EU); no transfer to third countries occurs. The legal basis is our legitimate interest in the needs-based design and reach measurement of our website (Art. 6(1)(f) GDPR). As Pirsch sets no cookies and neither stores nor accesses information on your device, no consent under the ePrivacy rules (in Germany, Section 25 TDDDG) is required for this. A data processing agreement (DPA) is in place with the provider. For more information, see the Pirsch Analytics privacy and legal information.

7. Processors & transfers to third countries

To process form and email data, we use the service provider Formspree (Formspree, Inc., USA); for booking consultation appointments, the Cal.com service (Cal.com, Inc., USA); and for hosting the website, Surge (USA). This may involve a transfer of personal data to the USA. The transfer is based on appropriate safeguards (in particular the EU Standard Contractual Clauses). Only the data required to process your enquiry or booking is transferred.

8. Storage period

We process personal data only for as long as is necessary for the stated purposes or as long as statutory retention periods exist. The data is then deleted.

9. Your rights

You have the right to access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20), as well as a right to object (Art. 21). You can withdraw any consent you have given at any time. To exercise your rights, a message to the address stated above is sufficient.

10. Right to lodge a complaint

You have the right to lodge a complaint with a data protection supervisory authority regarding the processing of your personal data.

11. exali liability seal

This website uses the exali AG Liability Seal. The graphic element of the seal is reloaded from the servers of exali AG. For this purpose, due to the technical design of the Internet, your IP address is processed in order to transmit the graphic to your browser. If you click on the seal, you leave our website and are forwarded to the servers of exali AG.

The legal basis for the processing is Art. 6 (1) (f) GDPR (legitimate interest). The legitimate interest lies in providing evidence of the legally prescribed mandatory information on professional indemnity insurance pursuant to Section 2 (11) DL-InfoV in a visually appealing manner. For more information, see the exali AG privacy policy.

Note: This privacy policy will be updated whenever our processing activities change.
